General Check-in:
-Amy: Nervous about digital judging – is not sure that everyone in her region knows that judging is done all digitally. Cassandra suggested having training for panel moderators before judging starts. Kat offered to send Amy the contact information for an Affiliate that recently transitioned to all digital adjudication to assist with questions and nerves.
-Cheryl: Judges portfolios digitally and individual works live. Issue: worried about an issue she had with digital judging last year when portfolios went missing or deleted from system without warning.
-Diane: Hosting workshops to assist students with editing work and using the system, the first session had 7-8 students and the Saturday session had 3 students.
- Andrea: In the process of hiring judges. Says flow of questions is slow right now, but expecting things to pick up after the holiday break.
Kat’s Announcements:
-National Student Poets Program has received an invite for the 5 student poets to attend an event at The White House and will facilitate a meeting among the poets at the President’s Committee on the Arts & the Humanities on Friday, December 14
-National Events are in the works to be very amazing in celebration of our 90th Anniversary. It is official we are moving part of the National Exhibition to Pratt Manhattan, in addition to the exhibition at Parsons. This space will primarily be for the American Visions Award winners with an emphasis on highlighting regional programs.
-We are on a positive trajectory of 20% growth for submissions
Review of Tuesday, December 4 Strategic Planning Call:
-Quotas
-Fee & Fee Structures
--Kat thanked Cassandra for facilitating the meeting. She then went on to explain the importance of giving the AAC a stronger presence in the Affiliate Network.
--Reiterated that AAC members contact their Affiliate groups to introduce themselves.
--Also, asked that AAC members contact their Affiliate group a week before the AAC conference call to ask if they have any concerns to be raised at the meeting, as well as circulate the minutes following each meeting
National Events:
-There will not be two ceremonies and it is cost prohibitive to move the ceremony to Radio City Music Hall ; however, we will be adding a LIVE WEBCAST – in hopes that Affiliates, teachers and students that are not able to attend will plan viewing events and allow more people to engage in the event remotely
-RSVP issues – Because of the around 40% of teacher no-shows last year, the National Office is brainstorming ways to increase the upfront level of commitment for attendance, possibly charging teachers who RSVP but do not show
Strategic Plan Update:
-Contracts are going out in January and will contain a request for a 3-year plan
-Kat pointed out that 80% of the Affiliate Network will not be affected, and 20% may have substantial impacts
-Kat is proposing individual conference calls with the 20% in order to begin the process of a collaborative effort to develop creative solutions over the three year implementation period
Teacher Voice:
-Some worry that teacher voice has been taken out of the program – that teacher voice was considered much more 6 or 7 years ago
-Kat asked that AAC member send her an email with specific examples of how the representation of teacher voice then and now, so we may look at how to move forward.

-January AAC will be rescheduled (date to come)
-Meeting day restructure in the works to better fit schedules
